Job Title:
Registration Admin - Talent Pool

Emeris consolidates resources and expertise from IIE Varsity College, IIE MSA, IIE-Vega School, and IIE School of Hospitality & Service Management, with a unified approach ensuring a consistent standard of excellence in teaching, learning, and student support.

We are looking for suitably qualified candidates to join our talent pool of candidates to work during our registration period . These will be contract roles based in the following departments.

Finance

  • Assisting the finance team with Student Administration and or Registration, Pre-reg fees, App fees, Deposits and Tuition Fees
  • Bill of Costs, tracing and tracking of payments and receipting of pre-reg and app fees in student system, manual invoices, other finance reg admin (outstanding bursary documentation, checking accounts)
  • Accurate processing of card payments.
  • Communicates with internal departments as and when required in order to maintain an accurate position on students accounts.
  • Attend to walk in account payers/academic queries.
  • Handle account payers complaints, provide appropriate solutions and alternatives.
  • Assist with student fees emails as and when required to resolve student/account payer queries.
  • Taking incoming calls
  • Checking of refunds and whether all required documents have been submitted.
  • Attend to additional ad hoc administrative duties as and when required.

Student Recruitment/Sales

  • Calling students to come and register
  • Calling students to follow up on documents
  • Data capturing
  • Assessing completeness of a registration
  • Assisting students to register
  • Accurate capturing of prospective student information, appointment forms and applications onto STASY and all applicable reports.
  • Capturing all leads into the relevant campaigns (interest cards, Online applications, Online enquiries, walk-ins).
  • Working co-operatively with the Head: Student Recruitment with respect to all database statistics for marketing reports i.e. (Presentation Trackers and all relevant sales reports).
  • Responsible for all marketing stock and promotional materials.
  • Ensuring that all interview rooms are stocked with appropriate marketing collateral.
  • Assisting Students Advisors with all database administration and associated correspondence.
  • Responsible for the integrity of data across all systems relating to the information for prospective prospective students and applicants. Work closely with Sales Analyst to ensure reports balance and all information is accurately captured.
 Admissions
  • student applications and admission administration
  • Collaborates with the campus teams to generate student admissions related queries.
  • Follows up with the campus teams for missing student information in order to finalise all student admissions related queries.
  • Evaluates student admissions against the set admission criteria and communicates the appropriate outcomes.
  • Liaises with the campus teams during the admission evaluation process and assessment.
  • Escalates admission queries to the Head: Academic Operations.
  • Documents management and issuance of appropriate admission letters.
  • Checks the accuracy of student registration information on an ongoing basis.
  • Determines conditions associated with student admission and follows up on them thereafter.
  • Determines the eligibility of the admittees onto academic programmes.
  • Tracks student admissions through to registration.
  • Reports on admission progress to the Head: Academic Operations
  • Adheres to established service level agreements of the admissions process set by the organisation.
  • Works with the Finance department on finance related issues of admission.
  • Works with the campus team to ensure admission compliance for the campus.

Student registration administration

  • Checks pre-requisites for 1st to 2nd semester
  • Verifies registrations against the admission criteria
  • Checks the accuracy of student registration information on an ongoing basis
  • Follows up on all outstanding documentation and uploads once received.
  • Determines maximum completion time and credit load of such registrations.
  • Ensures compliance of international students from a document perspective.
  • Adheres to the International Student Policy/Procedure and updates reports regularly.
  • Adheres to the established service level agreements of the registration process set by the organisation.
  • Assist students with completion of online registration contacts on and off campus
  • Assist students with registration queries on campus or via the FAQ BOT
  • Assist with student requests on Assist for adding and deregistering modules

Minimum Qualification Requirements:

  • Minimum of a Matric Certificate 
  • Degree will be advantageous 

Minimum Work Experience Requirements:

  • 0 - 2 years work experience 
  • Experience in Administration, Sales, Finance and Customer services will be preferable.
